Gift Cards

A full gift card system — issue cards with a unique code and balance, redeem them at checkout, and manage their lifecycle (active, paused, cancelled, expired) with a real-time view of your total outstanding liability. If you've ever wondered "how much do we actually owe in unredeemed gift cards right now," this gives you a direct answer instead of a guess.

1. ISSUING A GIFT CARD

Marketing → Gift Cards → issue a new card with:

  • A unique code, balance, and currency.
  • An issued date, and an expiry date — defaulting to 12 months out, but configurable in months at the moment you issue it.
  • Status starts Active.

2. AT A GLANCE — YOUR TOTAL OUTSTANDING POSITION

The Gift Cards screen surfaces the numbers that actually matter for managing this as a real liability, not just a list of codes:

  • How many cards are currently Active.
  • The total outstanding balance across every active card — your real current liability.
  • How many cards are expiring within the next 30 days, so you can proactively remind customers to use them (or plan for the liability coming off your books).

3. MANAGING CARDS — Individually or in Bulk

Filter cards by status, code, or minimum balance, and update a card's status (Active/Paused/Cancelled/Expired) or extend its expiry date — either on a single card, or in bulk against your current filtered view. Cleaning up a batch of soon-to-expire cards doesn't mean clicking through them one at a time.

4. HOW IT CONNECTS TO THE REST OF THE SYSTEM

  • POS / Sales — a gift card code can be applied directly at checkout toward a sale's balance due, with the card's real stored balance checked and deducted live.
  • Accounting — issued gift cards represent a real liability on your books; redemptions reduce that liability as they're used.
  • Customer records — gift card usage tied to a customer shows up as part of their transaction history.
