Dashboard

Log in, and this is the first thing you see: your command center, one page built to answer "how is my business doing right now?" without sending you digging through five different reports.

Cash Flow Inventory actually gives you three of these, connected and one click apart from each other:

  1. Overview Dashboard (dashboard.php) — day-to-day operations: sales, purchases, inventory, and what needs your attention today.
  2. Accounting Dashboard (dashboard-accounting.php) — the financial picture: profit & loss, balance sheet snapshot, expenses.
  3. Cash Flow Dashboard (dashboard-cash-flows.php) — money in, money out, what's overdue, and a forward-looking cash forecast.

Every business gets all three, and which widgets show up on each one adjusts itself automatically to which modules you've turned on (Production, Payroll, Multi-Location, etc.) and your business type — so a food & beverage manufacturer and a pure retail shop land on the same layout, populated with entirely different data.

1. FIRST-TIME EXPERIENCE — Getting Your Data In

A brand-new account doesn't dump you onto an empty dashboard and leave you guessing what to do next — the first time you arrive, a short setup flow walks you through it:

Step 1 — Choose how you want to start:

  • Mapping & Import: point it at your existing spreadsheets or export files and map the columns to import your products, customers, and suppliers into the system automatically — "guided data onboarding" instead of manual re-typing.
  • Demo Data: load a realistic sample business so you can click around and learn the product with real-looking numbers before you commit your own data.
  • Clean Start: skip straight to a completely blank system if you'd rather build it up yourself.

Step 2 — Once data exists (real or demo), the dashboard widgets light up with your actual numbers.

So you can genuinely evaluate the product in minutes, rather than needing a data-entry afternoon before you even get to look at it.

2. THE OVERVIEW DASHBOARD — What You See Every Day

2.1 Smart Insights (AI-powered business alerts): a dedicated panel that surfaces what actually needs your attention, not just raw numbers — flagged situations that show up as "items require your attention" alerts. You don't have to know which report to check; the dashboard just tells you.

2.2 Quick Actions: one-click buttons for the things you do constantly, right at the top of the page:

  • New Sales Order
  • New Invoice
  • New Purchase
  • Cash Purchase (skip the PO/bill cycle for an instant purchase) — no digging through menus for the actions you use ten times a day.

2.3 Process Flow Widgets: visual "Sales Process Flow" and "Purchase Process Flow" diagrams show where every order currently sits — Order → Delivery → Invoice → Payment on the sales side, and the mirror on the purchase side — so bottlenecks (e.g., "12 orders are stuck waiting on delivery") jump out at a glance instead of requiring you to open each list separately.

2.4 Module Snapshot Cards: at-a-glance cards for Sales, Purchase, Inventory, Contacts (Customers/Suppliers), Reports, Accounting, and Cash Flows — each one a doorway into that module, with Inventory Value and Receivables surfaced right on the overview.

2.5 Filters: a "Dashboard Filters" panel lets you scope everything on the page by time period (This Month, This Year, Quarter, or a custom date range). Filter preferences can be applied just to you or saved for your whole user account ("Apply to User"), and the layout itself toggles between Compact and Focus display modes depending on whether you want density or clarity.

2.6 Quick Navigation: a searchable shortcut panel ("Show shortcuts") for jumping straight to any screen in the system without hunting through the sidebar — handy once your team knows the product and just wants speed.

3. THE ACCOUNTING DASHBOARD — The Financial Picture

Switch to this view when you want the story behind the numbers, not the operational to-do list. It's built from the same live General Ledger that powers your official financial statements, so what you see here always matches your books — it's not a separate calculation, just a summarized view of the same data.

Key widgets:

  • Total Income, Total Expenses, Net Profit, Profit Margins — the headline health-check numbers for the selected period.
  • Total Assets, Total Liabilities, Total Equity — a live snapshot of balance sheet position without opening the full Balance Sheet report.
  • Monthly Performance — trend view so you can see whether this month is better or worse than the trend, not just an isolated number.
  • Cost of Goods Sold and Cost Breakdown — what it's actually costing you to deliver what you sell.
  • Operating Expenses + Top Operating Expenses — where the money is actually going, ranked, not just totaled.
  • "Current balances" for your connected Cash & Bank accounts (with a clear empty-state message if none are set up yet, so new accounts aren't left guessing why a section is blank).
  • One-click links to the Full Report for Balance Sheet, Trial Balance, and Journals when you want to go deeper than the summary.

Time comparisons are built in: Today, Yesterday, This Week/Month/Quarter/Year, and their "Previous" counterparts (Previous Month, Previous Quarter, Previous Year) — so "are we doing better than last month?" is answered without exporting anything.

4. THE CASH FLOW DASHBOARD — Where Your Money Actually Is

This is the view most small businesses check first thing every morning. Profit on paper and cash in the bank are two different things, and this dashboard is built for the second one.

Key widgets:

  • Money In (Month) / Money Out (Month) / Net Flow — the simplest possible read on whether cash is growing or shrinking this month.
  • Projected Balance — a forward-looking Cash Flow Forecast, not just a historical report, so you can see a cash crunch coming before it happens.
  • Receivables and Payables side by side, including an "All Outstanding" and "Overdue" view, with per-item Amount Due, Status, and Location, and one-click actions right from the list: Receive Pay (on an invoice) or Bill Pay (on a bill) — you can act on a cash-flow problem from the same screen that showed it to you.
  • CF Statement (Cash Flow Statement) link for the full formal report.
  • A Time Horizon control for the forecast, plus the standard period filters (This Month, Next Month, custom).

5. HOW THE THREE DASHBOARDS FIT TOGETHER

They're not three separate products bolted together. They're three lenses trained on the exact same transactional data:

6. HOW IT CONNECTS TO THE REST OF THE SYSTEM

  • Sales Orders, Purchase Orders — the Quick Actions and Process Flow widgets are live views into those modules, not a separate summary that can drift out of date.
  • Cash & Bank Management — the Cash Flow dashboard's balances and Money In/Out figures come straight from your connected cash and bank accounts.
  • Chart of Accounts / General Ledger & Financial Statements — the Accounting dashboard is a summarized view of the exact same posted ledger that produces your official P&L, Balance Sheet, and Trial Balance.
  • Products & Inventory — Inventory Value on the Overview dashboard reflects your live stock ledger, the same data shown on every product record.
