Settings & Permissions — the main screen

1. USER PERMISSIONS — GRANULAR, PER PERSON, PER PAGE
Every staff user's access is controlled independently, page by page — and on pages where it matters, you control four separate abilities on their own:
- View — can they see this page at all?
- Entry — can they create new records?
- Edit — can they modify existing records?
- Delete — can they remove records? A simpler page might get away with a single "Can View" checkbox; a page where finer control actually matters, like Sales Orders, gives you all four. Only the business's primary owner account can assign permissions in the first place — a hard, dedicated safeguard so no staff member, however broad their access elsewhere, can escalate their own or anyone else's.
Newer modules get their own independent permission row instead of quietly inheriting one from a related page. Service Templates, for example, has its own View/Entry/Edit/Delete grant, separate from Quotations and Jobs — so you can hand someone template-building access without handing them access to live quotations or jobs, or the other way around.
2. BUSINESS SETTINGS — ORGANIZED BY WHAT YOU'RE CONFIGURING
Settings are grouped into clear categories, so you're never digging through a wall of unrelated options to find one setting:
- Company Profile — business name, contact details, tax registration ID, legal entity type, logo, and your physical locations.
- Localization & Compliance — timezone, base currency (from a list covering roughly 90 currencies), weight unit, fiscal year (calendar year or a custom fiscal calendar), and the master module toggles for Payroll, Accounting, Integrations, and Multi-Location. This is exactly what lets the same product serve a simple single-location shop and a complex multi-location manufacturer, with neither one seeing features it doesn't need.
- Security & Access — audit trail visibility, and where broader access controls live.
- Sales — your Sales Flow (see the Sales Orders guide), approval thresholds, advance-payment handling, discount rules, and tax display preferences. A single Services section groups three independent pipeline toggles together, since they're really one connected flow: Leads (whether the sales team works new business through a Leads pipeline before it becomes a quotation), Quotations & Jobs (whether Quotations and Jobs are available at all, for service-based and job-based work), and Subscriptions & Recurring Billing (whether ongoing recurring plans, billed on their own schedule, are available — with its own default billing cadence, revenue recognition, and dunning settings; see the Subscriptions & Recurring Billing guide). A business that only sells stock items can leave all three off and never see any of them in the sidebar; one that only sells recurring plans can turn on Subscriptions alone, without the wider Quotation/Job pipeline tagging along.
- Purchase — the mirror configuration for buying: workflow, approval thresholds, restock policy, and demand-forecast settings. Same pattern on the buying side: Requisitions (internal purchase requests before a PO exists) and RFQ / Quotes (competitive supplier quoting before you commit to an order) each get their own on/off switch, so simpler operations can skip straight to Purchase Orders.
- Production & Inventory — whether production/manufacturing, batch tracking, serial tracking, and quality control are turned on at all, plus your default inventory valuation method (Weighted Average, FIFO, or LIFO), multi-unit handling, and what happens automatically when a tracked batch passes its expiry date.
- Notifications — email and SMS provider setup, with a template builder per system event (order placed, invoice issued, low stock, etc.) and a delivery log so you can confirm messages actually went out.
- Customization & Print — custom fields for your Sales and Purchase documents, and barcode/label/invoice print formatting.
- Payment Terms — the net-day terms (Net 15, Net 30, Due on Receipt, etc.) you can apply to invoices and purchase orders.
- Payment Methods — which payment methods (cash, card, bank transfer, and so on) staff can select when recording a sale or purchase payment.
- Shipping Methods — the carrier/shipping options available when creating a delivery order.
- Sales Channels — the list of channels (in-store, online, marketplace, etc.) you can tag a sale against for channel-level reporting.
- Departments & Job Titles — the org-structure fields available when setting up an employee record, used across Payroll and User Permissions.
- Accounting Period Lock — closing a period so posted transactions before that date can't be edited. It has its own dedicated guide (see Period Close & Lock), since it's a full workflow in its own right, not just a toggle.
User accounts themselves live separately from the settings categories above:
- User List — every staff account on the business, active or disabled, with a shortcut into each one's detail and permissions.
- User Info — a specific staff member's profile: name, login email, job title, and which locations they're tied to.
- Security Options — per-user password reset, default and fixed work location, and active/inactive status — the account-level controls that sit next to, but are distinct from, that user's page-by-page permission grant covered in Section 1.
3. RESET DATA — A GENUINELY SAFE WAY TO CLEAR OUT DATA
Every business eventually needs to wipe test data or start a category fresh, and that's exactly what Reset Data (in the Danger Zone) is for — built to make the job safe rather than terrifying:
- You choose exactly which categories to clear — Inventory & Items, Contacts, Production & QC, Payroll, Tax & Compliance, or Transactions & Journal — one or more at a time, never all-or-nothing.
- You must type your exact business name to confirm before the button even becomes clickable.
- Before anything is deleted, a complete backup of everything about to be removed is created automatically. If that backup can't be created for any reason, nothing gets deleted — the safety net comes first, always.
- Only once the backup is confirmed does deletion actually run, as one all-or-nothing operation. If anything fails partway, the whole thing rolls back rather than leaving you half-cleared.
- You get a direct download link for the backup the moment it's done, plus a permanent audit trail record of who did it and when. Your core business settings — currency, locations, users — are never touched by this tool, no matter which categories you select.
4. HOW IT CONNECTS TO THE REST OF THE SYSTEM
- Every module in the product reads its behavior from these settings. Turning on Multi-Location or Production here is what makes those modules' menu items and features appear at all.
- Permissions here are exactly what the sidebar navigation and every protected page check before showing content or allowing an action.
5. WHY IT SCALES FROM SMB TO ENTERPRISE
Small business
Leave the advanced modules off and the app stays simple — nothing you don't use is ever in your way.
Growing business
Turn on Multi-Location, Production, or Payroll the moment you need them — no migration, no re-platforming.
Enterprise
Granular, page-level, four-action permissions per staff user, an owner-only permission-assignment gate, and a backup-before-delete data reset tool give IT and compliance teams the access control and data-safety guarantees they need.
