Documents

Somewhere in this system is a signed delivery note from three weeks ago, and you have no idea which module it's attached to. Documents is one searchable, filterable view of every file attached to a transaction anywhere in the system — Sales Orders, Purchase Orders, Bills, Bill Payments, Purchase Receipts, Purchase Returns, Stock Adjustments, Stock Reconciliations, Delivery Orders, Material Issues, Sales Payments, Sales Returns, and Manual Journals — instead of opening each of those modules one at a time to hunt for a PDF or receipt photo you know exists somewhere.

Who this is for

  • Bookkeepers and accountants who need every supporting document for a batch of transactions without visiting a dozen different screens.
  • Anyone running an internal or external audit who needs "every file attached to this vendor's bills" or "every signed delivery note this month" in one place.
  • Office managers and team leads who remember a file was uploaded somewhere, but not which specific order, bill, or journal it landed on.

Documents — the main screen

1. ONE VIEW ACROSS THIRTEEN MODULES

Every file uploaded to a Sales Order, Bill, Purchase Order, Bill Payment, Purchase Receipt, Purchase Return, Stock Adjustment, Stock Reconciliation, Delivery Order, Material Issue, Sales Payment, Sales Return, or Manual Journal shows up here automatically — nothing extra to upload or tag. Search by file name, or filter down to a single module with the module dropdown, and go from "I remember roughly what this was" to the actual file in seconds.

2. PERMISSION-SAFE BY DESIGN

This isn't a shortcut around your existing permission setup. Each row shown here is re-checked against that specific module's own view permission before it's displayed — a user who can't open Bills won't see Bill attachments here either, even though this is one shared screen. Download and delete on a given file follow the same rule: a user needs the underlying module's permission, not just access to Documents itself.

3. DOWNLOAD OR DELETE FROM ONE SCREEN

Once you've found the file you need, download it or remove it directly — no need to navigate into the original Sales Order or Bill just to grab an attachment. Deletion still respects that module's own delete permission, so this is a faster way to reach a file, not a way to bypass the controls already in place around it.

4. HOW IT CONNECTS TO THE REST OF THE SYSTEM

  • Every file shown here was originally uploaded on its owning module's own page — Sales Orders (07), Bills (16), Payments Made (17), Receiving (15), Purchase Returns (18), Stock Adjustments (03), Stock Count & Reconciliation (05), Delivery & Fulfillment (11), Sales Payments & Receivables (09), Sales Returns & Credit Notes (10), and manual journal entries under Chart of Accounts & General Ledger (27) — Documents is a second, unified doorway to the same files, not a separate upload location. Product, variant, and category photos live in the separate Media Library (58) gallery, not here — this module is for transaction paperwork, that one is for catalog imagery.
  • Access follows Settings & Permissions (42) exactly, module by module, described above.

5. WHY IT SCALES FROM SMB TO ENTERPRISE

01

Small business

Stop asking "which order did I attach that supplier invoice to" — search the file name once instead.

02

Growing business

A bookkeeper closing the books for the month can pull every attached bill, payment receipt, and delivery note without needing a login to every individual module's team member.

03

Enterprise

Audit and compliance requests ("show every document tied to this vendor's Bills this quarter") are answered from one screen, with the same per-module permission wall intact so nothing is exposed that a reviewer shouldn't already be able to see.
