Multi-location inventory software for shops, stores and warehouses

Cash Flow Inventory keeps stock per location and moves it between locations with transfer orders — picked at the source, delivered, and received at the destination, each step a recorded movement. Inside each location, bins with paths, capacity and labels, and scanning by camera or scanner gun, show where every item sits.

The problems it solves

  • Stock in the wrong location

Out-of-stocks and overstocks together cost retail about $1.7 trillion a year worldwide (IHL Group, 2024). Often the stock exists — just at another branch or warehouse.

  • Records that drift from the shelf

Store stock records are about 63% accurate with barcodes alone (Auburn University RFID Lab, 2018). Every location that is not counted regularly drifts on its own.

  • Nobody knows where it is

Stock that is in the building but in an unknown shelf is as good as missing: orders wait, and the same item is bought again.

How multi-location stock works in Cash Flow Inventory

  1. Set up locations and bins

Each shop, store or warehouse is a location with its own stock. Inside it, bins have a path, a barcode, a capacity and a label, and show what each one holds.

  2. Raise a transfer order

A transfer order says what moves from which location to which. It can route to an approver; its statuses are pending, approved and closed, or cancelled.

  3. Pick, deliver and receive

The pick records the stock leaving the source. The delivery note shows it on its way. The receipt lands it at the destination — so stock in transit is never counted twice or lost.

  4. Scan to put away and find

On the Scan screen, put stock away into a bin, find where an item is, or count by bin, using a phone or laptop camera or a scanner gun. GS1-128 barcodes are understood.

  5. Count and replenish

Count sheets per location compare counted with system quantities and are approved into an adjustment. Replenishment suggests transfers per location as well as purchase orders.

What you can do

  • Stock per location

Every location has its own stock figure from one movement log — receipts, sales, transfers, production, adjustments and counts, with who made each and the document behind it.

  • Transfer orders

Transfers from one location to another as documents of their own: approve, close, reopen or cancel them, with the pick, delivery note and receipt each recorded.

  • Approvals on transfers

Transfer orders and stock adjustments are among the document types an approval workflow can route to an approver, and an approver’s right can carry an amount limit.

  • Bins with paths and capacity

Storage bins per location, each with a path, barcode, capacity and label, and a view of what it holds. Bins can be generated and their labels printed.

  • Camera or scanner gun

Put away, look up an item’s bin, or count a bin by scanning — with the device camera or a scanner gun. GS1-128 is understood.

  • Shelf and product labels

Barcode or QR labels for products and shelves on A4 / Letter sheets or a label-printer roll — print, save a PDF, or send ZPL to a Zebra printer.

  • Counts per location

Start a count for a location — all items, a category or chosen items — enter or scan the counted quantities, and approve all differences or only the accepted ones into an adjustment.

  • Replenishment across locations

Items whose forecast — on hand, less what is promised, plus what is on its way — is below the minimum, ordered up to the maximum as transfers per location, purchase orders per supplier or work orders.

  • People limited to their location

Record rules can limit a person to their own location’s documents, and stock does not go below zero in any location unless the business allows it.

Where it is not the right fit

  • Large automated distribution centres: locations, bins, scanning, counts and transfers are covered, but wave picking, slotting and warehouse robotics are not part of it.
  • Restaurants and cafés: table service, kitchen display and recipe costing are not its focus.
  • Very large enterprises that need a global multi-company ERP rollout with on-premise hosting — this is a cloud product per business.

Questions and answers

What is multi-location inventory software?

Software that tracks stock separately in each shop, store or warehouse and moves it between them on record. In Cash Flow Inventory each location has its own stock figure, and transfer orders move stock from one to another through a pick, a delivery and a receipt.

How do transfers between locations work?

Create a transfer order with the source, destination and items. Once approved, a pick records the stock leaving the source, a delivery note shows it on its way, and a receipt lands it at the destination. The order then closes.

Can transfers need approval?

Yes. Transfer orders are one of the ten document types an approval workflow can route to an approver, and pending transfers can be approved together from the assistant’s work queue.

Does it support bins and barcode scanning?

Yes. Bins have paths, barcodes, capacity and labels. The Scan screen puts stock away, finds where an item is and counts by bin with a camera or a scanner gun, and it understands GS1-128 barcodes.

Is this a full warehouse management system?

It covers locations, bins, scanning, counts, transfers and replenishment inside one inventory and accounting system. It does not offer wave picking, slotting or warehouse robotics.

How do I count stock in one location?

Start a count for that location — every item, a category or chosen items. Enter or scan what was counted; the sheet shows the differences, and approving it turns them into a stock adjustment.

Can it suggest moving stock instead of buying more?

Yes. Replenishment lists items below their minimum and can order up to the maximum as transfers from another location, as well as purchase orders or work orders.
