Inventory software for ecommerce and retail, on one stock figure

Inventory software for ecommerce and retail keeps the shop counter and the online stores selling from the same stock. In Cash Flow Inventory the till, your web store and marketplaces all draw on one stock figure per location, and every sale, return and refund posts to the books as it happens.

The problems it solves

  • Selling what you no longer have

Out-of-stocks and overstocks together cost retail about $1.7 trillion a year worldwide (IHL Group, 2024). Two channels with two stock figures make both more likely.

  • Orders in several places

Counter sales, web orders and marketplace orders arrive in different systems, so stock, payments and returns are matched by hand at the end of the day.

  • Returns and promotions off the books

Refunds, codes, points and gift cards handled outside the accounts leave margins nobody can explain at month end.

How retail and online selling work in Cash Flow Inventory

  1. Open a shift at the till

The shift starts with a float. Scan or tap products, take the payment — part payments, the customer’s credit and earlier dues included — and print the receipt. The shift closes with the cash counted against what was expected.

  2. Connect your online store

Products, variants, categories, images, customers and coupons come in from the store and stay mapped. Orders placed on the store arrive as sales orders, with the customer, the shipping charge and the payment state.

  3. Keep one stock figure

Every stock change — a till sale, a receipt, a count, a transfer, a reservation — is sent to the store as the available quantity: on hand less what open orders hold, never below zero.

  4. Fulfil and get paid

Pick, deliver and invoice web orders as any sale. Unpaid web orders wait in their own queue, oldest first, until the money arrives or the order is cancelled.

  5. Take returns back

A return against the invoice brings the stock back and, when approved, makes the credit note — refunded in cash, to the bank or to a gift card, or kept as the customer’s credit.

What you can do

  • A till with shifts

Shifts opened with a float and closed with a cash count, cashier switching, returns from an earlier receipt, and an offline till that keeps selling when the internet drops and sends the sales once it is back.

  • Online stores

WooCommerce runs live today. Shopify, BigCommerce, Adobe Commerce, Wix Stores, Squarespace, PrestaShop, OpenCart and other platforms are tested against each provider’s sandbox.

  • Marketplaces

Amazon, eBay, Etsy, Walmart, TikTok Shop, Shopee, Lazada, Meta / Facebook and Google Shopping are built and tested against each provider’s sandbox; none is proven with a live seller account yet.

  • Store sync you can check

Every hour each connected store is checked. Each product shows Up to date, Failed with the reason, Waiting or Stopped trying; failed sends retry with growing waits, and Send again sends one now.

  • Promotions and codes

Promotions and discount codes, created, switched on and off, and archived from one list.

  • Loyalty and segments

A loyalty programme with points and tiers, enrolment and earning and spending policies, and customer segments defined by rules.

  • Gift cards

Issue gift cards, change their status, extend them and see every transaction; a refund can be paid out to a gift card.

  • Returns, credit notes, refunds

Returns from the till or against an invoice, approved into credit notes, then refunded or kept as credit. Goods coming back from a delivery have their own list.

  • You choose what sells online

A product is published on your stores only when it is Active and Sell online is on; raw materials and packaging start with Sell online off.

Where it is not the right fit

  • Restaurants and cafés: table service, kitchen display and recipe costing are not its focus.
  • A seller that depends on one marketplace or store connector that is not yet proven live — prove it with your own live account first.
  • A country that requires a certified fiscal device or e-invoice profile the app does not yet cover.

Questions and answers

What is inventory software for ecommerce and retail?

Software that keeps the stock for your shop and your online channels in one place, so the counter and the web store sell from the same figure. In Cash Flow Inventory the till, online stores and marketplaces share one stock log per location, and sales post to the accounts as they happen.

Which online stores and marketplaces does it connect to?

WooCommerce runs live today. Shopify, BigCommerce, Adobe Commerce, Salesforce Commerce Cloud, OpenCart, PrestaShop, Squarespace, Wix Stores, ePages, Ecwid, Lightspeed eCom, Shopware and Volusion, and the marketplaces Amazon, eBay, Etsy, Walmart, TikTok Shop, Meta / Facebook, Shopee, Lazada and Google Shopping, are tested against each provider’s sandbox.

How quickly does stock reach my WooCommerce store?

The screens that move stock send it at once, and a check every 5 minutes sends anything else that moved. A typical change reaches the store within seconds, at most about 5 minutes.

Does the till work without internet?

Yes, when the offline till is switched on: it keeps selling when the internet drops and sends the sales once the connection is back.

Can I run promotions, loyalty points and gift cards?

Yes. Promotions and codes, a loyalty programme with points and tiers, and gift cards are in the Marketing menu, and the till checkout handles them.

How are returns and refunds handled?

A return against the invoice brings the stock back and, when approved, makes the credit note. The credit is refunded in cash, to the bank or to a gift card, or kept as the customer’s credit for the next sale.

What happens when an order is cancelled on the store?

If nothing was picked, delivered or invoiced yet, it is cancelled here too: the stock is released and any advance reversed. If it was already picked, delivered or invoiced, it is kept and listed for a person to decide.
