POS software with inventory and the books behind every sale

POS software with inventory records each sale at the till against the same stock you buy, transfer and count, so the shelf and the system agree. In Cash Flow Inventory the till works on the shared stock and books: open a shift, scan or tap products, take the payment, and the sale moves stock and posts to the accounts as it happens.

The problems it solves

  • A till that keeps its own stock

When the till and the stock system are separate, every sale has to be copied across. Store stock records are about 63% accurate with barcodes alone (Auburn University RFID Lab, 2018) — a second copy only widens the gap.

  • Cash that does not match the drawer

Without shifts opened with a float and closed with a count, nobody can say which day or which cashier the difference came from.

  • Offers, points and cards in separate tools

Promotions in one place, loyalty in another and gift cards on paper mean discounts nobody can trace and balances nobody trusts.

How the till works in Cash Flow Inventory

  1. Open a shift

Each shift opens on a register with a float. The cashier can be switched during the shift, and the till can run as the full till or the simple one.

  2. Scan or tap products

Scan a barcode or tap a product; the till shows what is in stock. Add the customer, an order discount or a promotion code, and park a sale to come back to it later.

  3. Take the payment

Take one payment or several part payments, use the customer’s credit, and collect earlier dues at the same time; then print the receipt.

  4. Return goods from a receipt

Return goods from an earlier receipt (F8). The stock comes back, and the credit is refunded in cash, to the bank or to a gift card, or kept as the customer’s credit.

  5. Close the shift

Count the cash at the end of the shift; the cash manager shows what was expected against what was counted, with every cash movement in and out.

What you can do

  • One stock for till and warehouse

The till sells from the same stock as orders, transfers and counts. Stock does not go below zero unless the business allows it, and till sales made offline are always recorded.

  • Offline till

With the offline till switched on, the till keeps selling when the internet drops and sends the sales once it is back.

  • Shifts and cash manager

Shifts opened with a float and closed with the cash counted against what was expected; registers; every cash movement in and out of the till.

  • Promotions and codes

Promotions that are live, scheduled, paused or ended, applied at the till by code; promotion performance reports redemptions, discount given and orders per campaign.

  • Loyalty with tiers

Enrol customers into a loyalty programme with tiers from Bronze to Platinum; award and redeem points, with each member’s history.

  • Gift cards

Issue gift cards, follow each balance and expiry date, extend or pause them in bulk, and see the unclaimed list. A refund can be paid to a gift card.

  • Barcodes and labels

Print barcode and QR labels for products and shelves on A4 / Letter sheets or a label-printer roll, as PDF or ZPL for Zebra printers.

  • Till discount approval

Till discount is one of the ten document types an approval workflow can cover, so a large discount can wait for an approver.

  • Same books, same reports

Till sales post to the same ledger as every other sale. Sales by operator, sales by location and profit by item read them alongside orders and invoices.

Where it is not the right fit

  • Restaurants and cafés: table service, kitchen display and recipe costing are not its focus.
  • A country that requires a certified fiscal device or e-invoice profile the app does not yet cover — the till is not a certified fiscal device.
  • Very large enterprises that need a global multi-company ERP rollout with on-premise hosting — this is a cloud product per business.

Questions and answers

What is POS software with inventory?

A till that sells from the same stock you buy, transfer and count, so every sale lowers stock on hand at once. In Cash Flow Inventory the till also posts each sale to the accounts, so stock, cash and the books agree.

Does the till keep working when the internet goes down?

Yes, when the offline till is switched on in Business setup. The till keeps selling and sends the sales once the connection is back; those sales are always recorded.

Can I scan barcodes at the till?

Yes. Scan a barcode or tap a product on the screen. You can print barcode and QR labels for products and shelves as PDF or as ZPL for Zebra label printers.

How do shifts and cash counts work?

A shift opens on a register with a float and closes with the cash counted. The cash manager shows what was expected against what was counted for each shift, and every cash movement in and out.

Can customers use loyalty points and gift cards?

Yes. Loyalty programmes have tiers from Bronze to Platinum, with points awarded and redeemed per member. Gift cards carry a balance and an expiry date, and a refund can be paid back onto one.

How do returns work at the till?

Return goods from an earlier receipt with F8. The stock comes back, and the credit is refunded in cash, to the bank or to a gift card, or kept as the customer’s credit for the next sale.

Is the till a certified fiscal device?

No. Where a country requires a certified fiscal device or receipt profile that the app does not cover, Cash Flow Inventory is not the right fit for the till today.
