Inventory management software that keeps one true stock figure

Cash Flow Inventory records every stock change — sale, purchase, transfer, production, adjustment and count — as a movement in one log, so each location has one stock figure you can trust. The same movements post to the accounts, so stock value and the books agree without re-keying.

The problems it solves

  • Stock in the wrong place

Out-of-stocks and overstocks together cost retail about $1.7 trillion a year worldwide (IHL Group, 2024). Most of it starts with a stock figure nobody trusts.

  • Records that drift from the shelf

Store stock records are about 63% accurate with barcodes alone (Auburn University RFID Lab, 2018). Without regular counts the gap grows every week.

  • Cash tied up in the wrong items

Reordering by feel buys too much of what sells slowly and too little of what sells fast — the money sits on shelves instead of in the bank.

How inventory works in Cash Flow Inventory

  1. Set up products once

Products with variants, units and conversions, lots with expiry dates, serial numbers and bin locations; import them from a sheet or your online store.

  2. Every document moves stock

Receipts, sales, deliveries, transfers, production and adjustments each write a stock movement with who made it and the document behind it.

  3. Plan what to reorder

Safety stock, reorder point and order-up-to level are worked out from each item’s demand, lead time and service level, and refreshed every night.

  4. Count and reconcile

Count sheets per location compare counted with system quantities; approving them turns the differences into an adjustment with a reason.

  5. See value at any date

Stock at a date is valued by your method — FIFO or weighted average — and reconciled to the Inventory account.

What you can do

  • Units, lots and serials

Units with conversions, lots with expiry dates, serial numbers, and variants such as size and colour.

  • Several locations

Stock per location, with transfer orders that move it between them and approvals when you want them.

  • Bins and put-away

Bin paths, barcodes and capacity; scan to put away, find an item or count by bin with a camera or a scanner gun (GS1-128 understood).

  • Replenishment

Items whose forecast — on hand, less what is promised, plus what is on its way — is below the minimum, ordered up to the maximum in one click as purchase orders, transfers or work orders.

  • Never below zero

Stock does not go below zero unless the business allows it in Settings, so you cannot sell what you do not have.

  • One inventory ledger

Every movement, newest first, with its source document — any figure on any report can be traced back.

  • Barcode and QR labels

Labels for products and shelves on A4 / Letter sheets or a label-printer roll, as PDF or ZPL for Zebra printers.

  • Approvals and reasons

Adjustments and transfers can route to an approver; every adjustment carries a reason and every change sits in the audit trail.

  • Ask the assistant

The AI assistant reads stockouts, the restock plan and movements for you, and any change it proposes is yours to approve.

Where it is not the right fit

  • Restaurants and cafés: table service, kitchen display and recipe costing are not its focus.
  • A country that requires a certified fiscal device or e-invoice profile the app does not yet cover.
  • Very large enterprises that need a global multi-company ERP rollout with on-premise hosting — this is a cloud product per business.

Questions and answers

What is inventory management software?

Software that records what stock you have, where it is and what it is worth, and helps you decide what to reorder. In Cash Flow Inventory every stock change is a movement in one log, and the same movements post to the accounts.

Can I track stock in several locations?

Yes. Stock is held per location, transfer orders move it between locations, and replenishment can suggest transfers as well as purchase orders.

Does it handle lots, expiry dates and serial numbers?

Yes: lots with expiry dates, serial numbers and bins. Expiry-dated goods can be drawn soonest-expiry first, with an expiry watch and lot recall in the pharmacy pack.

How does it decide what to reorder?

Each item’s safety stock, reorder point and order-up-to level are worked out from its demand, lead time and the service level you choose, and kept up to date every night. Replenishment lists the items below their minimum.

Which stock valuation methods are supported?

FIFO or weighted average, chosen per business. Stock at a date is valued by that method and reconciled to the Inventory account.

Can it sync stock with my online store?

Yes. WooCommerce runs live today; Shopify, BigCommerce, Amazon, eBay and other stores and marketplaces are tested against each provider’s sandbox.

Is there a free plan?

Yes, with no time limit and no card. Paid plans add locations, users and items as the business grows.

Start with the free plan

Create a business in a few minutes. The free plan has no time limit and needs no card; move to a paid plan when you need more users, locations or orders.
