Order management software that fits the way you sell

Order management software takes a customer order from approval through picking, delivery, invoicing and payment, and shows what is waiting at each step. Cash Flow Inventory builds that flow from five questions into one of 20 sales processes, with approvals, credit control, cash on delivery and online-store orders on the same stock and books.

Reviewed 5 November 2026 against the current version of the app.

The problems it solves

  • A process the software forces on you

A counter shop, a distributor that picks and packs, and a trader that bills before delivery need different steps. Fixed flows make people work around the software.

  • Orders shipped to customers who will not pay

About half of B2B invoices in the US are paid late, and bad debts are about 8% of B2B sales on credit (Atradius, 2024). Credit checks belong at the order, not after the goods have gone.

  • Cash on delivery nobody reconciles

When a courier collects the money, the invoice, the parcel and the courier’s payout are three separate records unless something ties them together.

How order management works in Cash Flow Inventory

  1. Answer five questions

Are orders used before invoicing; is stock picked in two steps, one step or not at all; is a delivery recorded; is the invoice made before or after the delivery; and where delivery and other charges are recorded. The answers pick one of 20 sales processes.

  2. Approve the order

By hand, automatically, automatically when enough is paid in advance, or through a published workflow. An approver’s limit and credit control are checked at approval, and a customer on credit hold is refused.

  3. Pick, pack and deliver

Picks set stock aside for approved orders; deliveries record what left the warehouse, with carrier and tracking, and keep shipped and delivered as separate statuses. Each step can be partial.

  4. Invoice before or after delivery

The invoice follows the chosen process. It is approved straight away or waits for someone to approve it; once approved it is in the books and owed.

  5. Collect and follow up

Payments reduce the invoice, which closes only when settled. Payment reminders go out by level to customers with overdue invoices, with holds and disputes.

What you can do

  • 20 sales processes

From Invoice → payment for a counter sale to Order → pick (+ pack) → delivery → invoice → payment for a distributor, with charges recorded where you choose.

  • Approvals with limits

Sales order workflows decide who approves at which level, with amount limits; requests wait in one approvals centre to approve, reject, send back or reassign in bulk.

  • Credit control

When an order takes a customer past their credit limit: off, warn and save, or block. Advance payments on the order can be applied to its invoices in the way you choose.

  • Cash on delivery with courier settlement

Hold the invoice until the courier reports the parcel, approve and settle it from the cash collected, and send any parcel that comes back different to review. Courier remittances match each payout to what was collected.

  • Online-store orders

Store orders come in as sales orders, with a queue of unpaid web orders to chase. An order cancelled or refunded on the store is cancelled here with that reason. WooCommerce runs live; other stores are tested against each provider’s sandbox.

  • Shipping labels and rates

Shipping labels for up to 200 deliveries at once with the amount to collect, live rates from connected carriers cheapest first, and pickup requests. Steadfast runs live; other carriers are tested against each provider’s sandbox.

  • Cancel, close and reopen with a reason

Cancel releases reserved stock and reverses an advance; close asks why when an order is not invoiced in full; reopen asks why. Business policies can cancel or close stale orders after a set time.

  • Returns, credit notes and refunds

A return against an invoice brings the stock back and, when approved, makes the credit note; the credit is refunded in cash, to the bank or to a gift card, or kept for the next invoice.

  • Work queues in the assistant

Tick the waiting orders and approve them together, then pick, then deliver and invoice; each record still goes through its own rules, and one refusal never stops the others.

Where it is not the right fit

  • A business that depends on one specific store or courier connector that is only built or sandbox-tested — prove it with your live account first.
  • A country that requires a certified e-invoice or fiscal device the app does not yet cover — the national e-invoice profiles are not certified.
  • Very large enterprises that need a global multi-company ERP rollout with on-premise hosting — this is a cloud product per business.
  • Restaurants and cafés: table service, kitchen display and recipe costing are not its focus.

Questions and answers

What is order management software?

Software that takes a customer order from approval through picking, delivery, invoicing and payment, and shows what is waiting at each step. In Cash Flow Inventory the steps come from five questions that choose one of 20 sales processes.

Can I invoice before delivery instead of after?

Yes. Whether the invoice is made before or after the delivery is one of the five questions, so either order of steps is a supported process.

How does credit control work on orders?

Each customer has a credit limit on their card. When an order would take them past it, the business chooses off, warn (the order saves and the page says so) or block (the order is refused). A customer on credit hold is refused at approval.

How is cash on delivery settled with the courier?

The invoice can wait for the courier’s report, then be approved, paid and settled from the cash collected. A parcel that comes back different goes to review, and courier remittances match each payout to what the courier collected, less their charges.

Does it handle orders from my online store?

Yes. Store orders arrive as sales orders and follow the same process; unpaid web orders have their own queue. WooCommerce runs live today; Shopify, BigCommerce and the marketplaces are tested against each provider’s sandbox.

Can sales orders need approval above a limit?

Yes. A published sales order workflow sets who approves at which level with amount limits, and an approver’s own limit applies to every approval they make.

What happens when an order is cancelled?

Cancel asks why, releases the reserved stock, reverses any advance and keeps the order in the list as cancelled with the reason in its history. Once something has been picked or invoiced, it is closed with a reason instead.
