Customer Management

Stop chasing a customer's history across five different reports. A complete customer record — not just a name, phone number, and address, but the entire relationship: every order, invoice, payment, return, delivery, and loyalty point they've ever earned, all on one page. Open their record and it's already there.

Who this is for

  • Any business that wants one real view of a customer relationship instead of scattered transaction records.
  • Sales and account teams who need order/payment history in front of them during a call.
  • Businesses running a loyalty program who need points and purchase behavior visible in the same place as billing.

1. THE CUSTOMER RECORD — ONE PAGE, EVERYTHING

Opening any customer gives you a full, tabbed profile:

Overview Contacts Loyalty Orders Invoices Payments Credits & Returns Statement
  • Overview — contact details, current balance, and key stats at a glance the moment you open the record.
  • Contacts — additional named people at the same customer account (different departments or individuals at one company), each with their own phone and email, for businesses selling to organizations rather than individuals.
  • Loyalty — this customer's tier, points balance, and full history of points earned and redeemed, if your loyalty program is active.
  • Repeat Purchase — patterns in what this customer buys again and again, useful for spotting reorder opportunities without guessing.
  • Performance — how this customer's business with you is trending: revenue, order frequency, and direction over time.
  • Orders — their complete Sales Order history.
  • Issues — a log of complaints, tickets, or problems tied to this account, so support history travels with the customer relationship instead of living in a separate system.
  • Deliveries — their shipment/delivery history.
  • Invoices — every invoice ever issued to them.
  • Payments — every payment ever received from them.
  • Credits & Returns — their return and refund/credit history.
  • Quotations, Jobs — shown only when Quotations & Jobs is turned on: every quotation and job tied to this customer, with status and totals, filterable by date range — see the Leads, Quotations & Job Conversions guide.
  • Subscriptions — shown only when Subscriptions & Recurring Billing is turned on: every recurring plan this customer is or was on, with status and totals — see the Subscriptions & Recurring Billing guide.
  • Statement — a single running, ledger-style account statement that combines invoices, payments, and credits into one chronological view — the exact document you'd hand a customer (or their accounts-payable team) if they asked "what's my current balance and how did we get here?"

2. ADDING A CUSTOMER — WITHOUT LEAVING WHAT YOU'RE DOING

New customers don't require a separate trip to a customer screen — they can be added inline, right from the middle of creating a Sales Order, Invoice, or POS sale, and the full record (with all the tabs above) exists immediately afterward for you to build out further whenever you have time.

3. BULK IMPORT & EXPORT — MOVING A WHOLE CUSTOMER LIST IN OR OUT

Adding customers one at a time is fine for a trickle of new signups, but not for a business migrating off a spreadsheet or another system with hundreds or thousands of existing customers already on file. The Customer list has a dedicated Import and Export area for exactly that, with two ways to bring data in depending on how much of it there is:

  • Quick Import — for small-to-medium lists. Upload a CSV or Excel file, the system automatically matches your file's columns to the right fields, you review and adjust that mapping, see a preview of what will be created and which rows have errors, and then commit. This runs instantly in your browser tab.
  • Background Import — for huge lists. Same upload-and-map flow, but the actual work happens on the server in the background, chunk by chunk, so you can navigate away or close the tab and it keeps running. A history log shows every background import you've run, with status, progress, and a downloadable list of any rows that failed, so nothing silently gets dropped on a large batch.
  • Export — choose exactly which columns you want and any filters, then download your customer list or a balance/statement-style report. A matching Background Export exists for lists too large to generate instantly.

Both the Quick and Background paths give you a downloadable file of whatever rows failed validation, so a bad batch doesn't mean starting over from scratch — you fix just the failed rows and re-import those.

4. HOW IT CONNECTS TO THE REST OF THE SYSTEM

  • Every module that touches a customer — Sales Orders, Invoicing, Payments, Returns, Deliveries, Loyalty, Promotions, Support — writes back to this same record, so nothing about a customer lives in isolation from everything else you know about them.
  • Segments — customers can be grouped into segments (see the Customer Segments guide) for targeted promotions or reporting, built from the same underlying data shown on their profile.
  • Reports — customer-level reports (sales by customer, aging, statements) all draw from this same record, so a summary report and the customer's own page always agree.
  • Supplier Management uses the identical Import/Export pattern (Quick and Background, same mapping-and-validation flow), so a team that has learned one side of it already knows the other.
  • Leads, Quotations & Job Conversions, and Subscriptions & Recurring Billing — a Lead resolves into this same customer record the moment it converts, and every Quotation, Job, and Subscription tied to a customer shows on their profile (see section 1).

5. WHY IT SCALES FROM SMB TO ENTERPRISE

01

Small business

One page tells you everything about a customer before you call them back, and Quick Import gets a starter list of customers in during initial setup in minutes.

02

Growing business

Contacts support for organizations with multiple people, plus Repeat Purchase and Performance views, help a small sales team prioritize who to focus on without a separate CRM tool.

03

Enterprise

A full ledger-style Statement view, combined with Issues/support history on the same record, gives account managers and finance teams the complete relationship picture in one place — the kind of 360-degree customer view usually reserved for dedicated, separately-licensed CRM software. Background Import/Export means a migration of tens of thousands of existing customer accounts is a file upload and a status log, not a data-entry project.
