Delivery & Fulfillment

"Fulfilled" is doing a lot of hiding in most systems — it can mean picked, packed, shipped, or delivered, and you're never sure which. This is the warehouse half of a sale: the physical steps between "the order is confirmed" and "the customer has it in hand," covering Picking & Packing (pulling the right physical stock and preparing it to ship) and Delivery (getting it out the door and confirmed received), each tracked as its own real status instead of one vague checkbox.

  • Any business with a warehouse or stockroom standing between an order and a delivery.
  • Operations on batch- or serial-tracked items, where knowing exactly which physical unit went to which customer isn't optional.
  • Teams shipping via carriers who need "we sent it" and "they got it" to be two different, provable statuses.

1. PICKING & PACKING — STEP BY STEP

  1. Once a Sales Order is approved, it appears in Picks & Packs ready for warehouse action.
  2. Pick — staff select the exact physical stock being allocated to this order. For batch- or serial-tracked items, the specific batch or serial number is captured right here, at the point stock physically leaves the shelf — not guessed at later.
  3. Pack — depending on your configured Sales Flow, picked stock is then packed into shipment-ready units as a distinct step, or combined with picking into one action if your flow doesn't separate them.
  4. Status (DO Sent / DO Not Sent) shows whether a Delivery Order has been generated yet for this pick/pack, so nothing falls through the crack between the warehouse floor and the shipping desk.

2. DELIVERY — TWO STATUSES, NOT ONE

A Delivery Order tracks the shipping method and carrier/tracking reference, and — importantly — tracks two independent statuses instead of collapsing them into one:

  • Shipped/Dispatched — it has left your warehouse.
  • Delivered — it's been confirmed received by the customer. An order can be legitimately "shipped" for days before it's confirmed "delivered," and the system lets you see and report on that gap honestly instead of assuming the moment it leaves your dock is the moment the customer has it.

3. THE LIVE PIPELINE VIEW

Every order shows a real-time progress strip combining pick/pack completion, shipping status, delivery status, invoice status, and payment status into one visual at-a-glance readout — so anyone on your team, from a warehouse lead to a customer service rep fielding a "where is my order" call, can see exactly where any order stands without digging through separate screens. Which stages appear depends on your business's configured Sales Flow (see the Sales Orders guide) — a business that skips formal delivery tracking simply won't see that stage at all.

4. HOW IT CONNECTS TO THE REST OF THE SYSTEM

  • Inventory — picking is what actually reserves and, on issue, moves stock in the central inventory ledger, keeping Available Stock accurate for every other order being placed at the same time.
  • Sales Orders — the pipeline visualization on the order screen is the same live data shown here; there's no separate "fulfillment system" to keep in sync.
  • Billing — cost lines like freight, marked billable during order entry, can be tracked through to the delivery stage and billed back to the customer.
  • Invoicing — depending on your Sales Flow, invoicing can happen before or after delivery, and the pipeline reflects whichever order your business actually uses.
